B2B Privacy & Information Security Policy (Tracking Data)

This policy explains how TABANI groupe collects, uses, and protects business and shipment-related data — including inventory and tracking data — when providing transportation, warehousing, inventory management, packaging, and port logistics services to our business clients (“Client,” “you”). It is intended to give procurement, operations, and supply chain teams a clear view of our data handling and information security practices when evaluating TABANI groupe as a logistics partner.
1. Purpose & Scope
This policy applies to business data shared with TABANI groupe in the course of a service relationship — including data generated through warehousing, freight transportation, inventory tracking, packaging, and port/container logistics activities. It is separate from, and supplements, our general Privacy Policy, which covers personal information collected through our website.
2. Data We Process
Depending on the services engaged, we may process:
- Shipment and order details (origin, destination, contents description, quantities, weights)
- Inventory records (SKU-level stock counts, storage locations, movement history)
- Container, pallet, or shipment tracking identifiers
- Pickup and delivery scheduling information
- Business contact information for your personnel involved in coordinating shipments (name, work email, work phone)
- Documentation related to customs, packaging, or handling requirements you provide
We do not seek or require sensitive personal information about your employees or customers, and ask that Clients avoid including such information in shipment documentation or communications with us.
3. Tracking & Inventory Data
Where our services include inventory tracking or stock visibility support, tracking data (such as barcode scans, stock movement logs, and warehouse location records) is collected and maintained to support accurate reporting to you on the status and location of your goods within our facilities. This data is used solely to deliver the contracted service and for internal operational reporting — it is not sold, rented, or used for any purpose unrelated to fulfilling your logistics needs.
4. Data Ownership
As between TABANI groupe and the Client, the Client retains ownership of all business and shipment data it provides or that is generated on its behalf through our services. TABANI groupe acts as a service provider processing this data solely to deliver the agreed logistics services, and does not claim any ownership interest in Client data.
5. Information Security Measures
We take reasonable steps to protect business and tracking data, including:
- Restricting access to warehouse management and inventory systems to authorized personnel only
- Physical security controls at our warehousing facility, including restricted access to storage areas
- Confidentiality obligations for staff who handle Client data
- Secure transmission practices for data shared electronically
- Regular review of internal data handling practices as our systems and operations mature
TABANI groupe is an operationally growing organization. We do not currently hold third-party security certifications (such as SOC 2 or ISO 27001); Clients with specific compliance requirements are welcome to discuss their needs with us directly as part of onboarding.
6. Access Controls
Access to Client data — including inventory and tracking records — is limited to personnel who require it to perform their role, such as warehouse operations, dispatch, and account coordination staff. Access is removed promptly when no longer required.
7. Service Providers & Subcontractors
We may engage third-party service providers to support our operations (for example, software or hosting providers for inventory and warehouse management systems). Where such providers have access to Client data, we require them to maintain appropriate confidentiality and security safeguards. A current list of subprocessors is available upon request.
8. Retention & Deletion
Business and tracking data is retained for the duration of the service relationship and for a reasonable period afterward to support recordkeeping, dispute resolution, and legal or accounting obligations. Upon written request following the end of a service relationship, we will delete or return Client data, subject to any retention required by law.
9. Cross-Border Considerations
TABANI groupe operates from Laval, Quebec, Canada. Where a Client’s shipments or business involve international origins or destinations, limited shipment-related data (such as container or customs details) may need to be shared with relevant carriers, port authorities, or customs bodies as necessary to complete the logistics process.
10. Security Incident Reporting
If we become aware of a security incident affecting Client data, we will notify the affected Client without undue delay, and will cooperate with the Client’s reasonable requests to investigate and address the incident, consistent with our obligations under applicable law.
11. Client Responsibilities
Clients are responsible for providing accurate shipment and inventory information, ensuring they have the right to share any data provided to us, and complying with applicable trade, customs, and data protection laws relevant to their shipments.
12. Changes to This Policy
We may update this policy as our operations, systems, or legal obligations evolve. The “Last updated” date above reflects the most recent revision. Material changes affecting active Clients will be communicated directly.
